 Appendix A:

Election of Executive Position/Officers

(minutes - Oct 4, 2005 - Tam Heather Curling Club)

The election will take place at a fall GM meeting after the ball season has ended (October or later). To be able to stand for election a person must be nominated from the floor by a member in attendance who is also in good standing and 2nd by another member in good standing. To be able to vote for a candidate, you must attend this same meeting. Voting can not be done by mail or through another person. If you can not attend, but wish to stand for a position, have someone who you know will be at the meeting nominate you for each position desired. Also, give them or send in a letter of agreement to stand for the position. (Suggest: If nominated, I will stand. If elected, I will serve.)

President

  1. Chair each and every Executive and the Annual General Meeting

  2. Notify through the Secretary all Executive members of the time, date and location of all executive meetings.

  3. Ensure that the Treasurer and the Executive properly look after the Teams’ finances.

  4. Ensure that all members follow and understand the intent of our Constitution.

  5. Collect new member Nomination forms; review these before giving to secretary.

  6. Review with sponsors their duties and obligations to new members.

  7. Encourage dialogue between the members and the Executive.

  8. Set an example of support by attending all functions on a regular basis.

  9. Inform or cause to be informed:

  • Probationary members the results of the acceptance vote within 5 days of the voting.

  • Any member absent from the meeting, if elected or removed from a club position within 5 days of the meeting.

  • Appoint someone to perform the job of any vacant executive position, until the executive agree upon a permanent person.

  1. For the executive meetings:

  • Establish the date and location of the Annual General meeting.

  • Prepare an agenda for all meetings.

Past President

  1. Assist the new President in his responsibilities, as requested.

  2. Be the Historian and ensure compliance to the Constitution.

  3. Attend all Executive and General Meetings when possible.

  4. Ensure the integrity & intent of the “Sons of Beaches”® is complied with.

 Vice-President

  1.  Assist the President with the day-to-day responsibilities.

  2. Chair the August Sons of Beaches Tournament or appoint a tournament director.

  3. Chair any meeting when the President is absent.

 Treasurer

  1. Maintain the books of the club, as the chief financial officer.

  2. Issue cheques for approved expenses with 2 proper signatures endorsing it.

  3. Report the financial status at each meeting.

  4. Recommend the dues structure for the ensuing year.

  5. Be responsible for ensuring year-end financial reports for money received and spent.

  6.  Update Bank information and signatures annually.

Secretary

  1. Take the minutes of each meeting.

  2. Notify the membership of meeting times and locations.

  3. Handle and report all correspondence for the club, including nominations of new members.

  4. The responsible for the updating and control of the team database can be delegated.

  5. Maintain records as deemed appropriate by the executive.

  6. A rough draught of Executive meetings minutes are sent to the executive members within 2 weeks of the meeting for approval. (minutes from Oct 19, 2004 - Victoria Albert Pub.)

Equipment and Uniforms

The convenor will be responsible for maintaining a proper supply of equipment as approved by the executive such as bases, balls, first-aid materials, home bases, uniforms, and hats. The standard uniform to be supplied by the SONS OF BEACHES will be white shirts with the Handlebar Hank logo and hats with the same logo. If any age group wants additional uniforms or hats or to use a second set of shirts for home and away games etc. they may do so at their own cost and with the approval of the executive. No Variations of the team trademark may take place unless a two-thirds majority vote in favour at an annual meeting. If Sponsorship is to be added to the uniform, it shall be done so by use of a “sewn-on” patch, and not embroidered onto the equipment itself, unless there is an exception unanimously approved by the executive.

Note: Keep an up to date list of member’s shirt numbers to avoid duplication.

Sunday League Manager

  1. Appoint or manage the 55+ team

  2. Attend coaching meeting of the league

  3. Pay and sign the team to the league

  4. Make sure the team has enough players

  5. Look for and sign up players from the SoB Database before selecting outside players

Benevolent Person (Hearts & Flower)

Receive and record notes from members reporting illness or death on members or their families.

Send cards or note of cheer and recognition of hard times.

Send get well card to the sick

Floral to funerals


Membership Joining Procedure

SoB members are self-policing & control the quality and flow of Club Membership. Each new member has to be nominated by two existing full members in good standing and one of these nominators becomes the new member’s sponsor.

The aim is to get the new member quickly comfortable and informed so he can be interactive and on track with our programs. We want to avoid having new members joining and then being left on their own to flounder through unknown club procedure/activities.

Generally speaking, once the candidate has paid 1st year membership, the nomination stays valid until the probationary vote has taken place.

How does a new member nominate a member?

Only full active status members can nominate new members. In the meantime, if a new member has friends or candidates that he feels would be good SoB members he can speak to an existing active club member about this (preferably the sponsor) and have the active member nominate the candidates.

One of the best ways to introduce a new candidate to the Beaches is to have him come out to the Tuesday night practice games and social or if there is room, have them join us at a tournament. These are good places for candidates to meet existing members and get a feel for our organization.

New Member Sponsor is responsible to ensure that the new member receives:

  1. Handlebar Hank’s welcome new member document

  2. SoB uniform

  3. Copy of the Constitution & Club guidelines, which is the executive job description.

  4. Current club information in a timely manner including: membership & uniform cost

  5. Explain Club procedures and events to the new member before they happen.

  6. Give the Nomination Form-1 to the President/secretary in a timely manner.

Membership Refunds

  1. The membership portion is not refundable as they had all the privileges of the team. (This may be overridden by the Executive.)
  2. The uniform is something they bought and used, so it belongs to them and therefore is not refundable, unless the club demands the uniform back. If the club demands and the uniform is returned, then a refund needs to be given.
  3. However, if the uniform was never issued then the uniform part is refundable.

The use of the name Sons of beaches in the website http://sonsofbeaches.net is used by Wayne Crowley with permission from the Club. The Executive has direct control and option to veto the content on this website. The committee agreed that all the content of the Website prior to or after these meetings is the sole property of Wayne Crowley. Please direct website requests directly to Wayne Crowley. Toronto Sons of Beaches – Logo

The logo for the Toronto Sons of Beaches Softball Club is a copyrighted Trademark and cannot be reproduced or used without the written approval from the Executive of the ball club.

On March 30, 2000 the Toronto Sons of Beaches Softball Club was granted a Trademark Registration Certificate (# 526,215)

The Logo is the official club logo and is named

“HANDLEBAR HANK”

Background

Officially, the application for our trademark was filed on January 28, 1998. This was  coordinated by the 1998 president – Doug Dempsey.

The CANADIAN TRADEMARK APPLICATION number is
